What does a hotel front desk system actually do?
A hotel front desk system — also called front office software — manages reservations, walk-in check-ins, room assignments, guest folios, payments and check-outs. It is the operational hub that the reception team uses all day: every room sale, every charge and every guest interaction passes through it.
The front desk system is the oldest layer of hotel software, but its scope has grown. A modern front desk system goes beyond a room rack and a cash register: it includes a visual room board (a timeline showing which rooms are booked, occupied, dirty or available), guided check-in workflows that pull guest data from prior stays or self-registration links, and folio accounting that collects room tariffs, restaurant charges and extras into a single bill.
In Indian hotels, the front desk system must also handle GST slab routing (12% for rooms up to Rs 7,500/night, 18% above), guest identity verification (Aadhaar, passport, DigiLocker), and the night audit that closes the day's books. Flocci Hotels ERP covers all of this — the front desk, housekeeping, POS and channel manager run on one database, so the desk never waits for a sync.
